Athena’s next Programs Specialist will bring 1-4 years experience in program management and event planning; and reports to the Director of Programs & Strategic Partners. This role requires proficiency in the design and execution of virtual and hybrid educational programming in a non-profit setting. The successful candidate will join a small but high-performing team with a penchant for excellence in execution and very client-centric while enjoying an empowering culture code. The candidate will also have the opportunity to work with a highly engaged Board of Directors representing 20 local and global science and technology companies.
Roles & Responsibilities
Coordinate and assist Director of Programs on planning, production, and promotion of 50 annual hybrid and live events
Support communications across 6 program committees and monthly committee meeting cadence
Evaluate the success of each program and regularly communicate program analytics to Program Director and appropriate committees.
Support process of sourcing, selecting, and negotiating venues, food, and beverage for all events
Develop annual calendar and vet event dates against published community and professional calendars
Oversee day-of program logistics, including name tags, AV setup, and event flow under the guidance of the Director of Programs & Strategic Partners.
Handling logistics for virtual programs and certification courses, including Zoom setup and troubleshooting.
Collaboration with sponsors to coordinate event logistics, such as food and beverage, AV requirements, and registration, with oversight from Director of Programs & Strategic Partners.
Creation of WIX program pages and designing Canva graphics.
Organizing and scheduling event speaker prep calls.
Providing support to the CEO, as needed.
Uploading all leadership program recordings onto Athena’s Global Access platform.
Represent the organization with highest standards of professionalism in dealing with membership, sponsors, community partners, and the public.
Show utmost trustworthiness, holding in strictest confidence information regarding the board, organization, membership, financials, etc.
Manage interns/volunteers, as needed
Provide Director of Programs general support
Qualifications and Education Requirements:
Bachelor’s Degree in Business, Marketing, Communications or related discipline
1-4 years of event planning experience or equivalent leadership experience working in mission-driven organizations
Exceptional written and verbal communication skills
Excellent business administration skills, including the ability to manage many projects simultaneously and to set priorities
Experience as a self-starter working in a deadline-driven environment
Commitment to women’s empowerment and social impact
Excellent interpersonal skills and the ability to work well with people inside and outside the organization
Experience with CRM and website platforms (required), specifically WIX and Constant Contact (helpful).Proficiency with Canva for graphic design, Microsoft Outlook, Google Drive, Zoom, Microsoft Teams, and Basecamp for project management and collaboration.
Strong work ethic and willingness to work occasional nights at industry events
Willingness to travel occasionally, as needed
Job Type: Part-time; San Diego/UTC
10-20 hours weekly at $22 hourly offering flexible, remote schedule and inspiring culture code driving social impact that’s changing the face of the STEM economy and the next generation workforce.
This position has the potential to transition into a full-time role down the line.
